Rich Bee Sourcing ("Rich Bee", "we") respects your privacy. This Privacy Policy describes how we collect, use, and safeguard information when you use our website, customer portal, and sourcing services.
Information we collect
When you interact with us, we may collect:
- Contact information — name, business email, company name, country, WhatsApp number (only if you provide it).
- Sourcing inquiries — product descriptions, quantities, target prices, attached files (technical drawings, photos, spec sheets) you submit via the RFQ form, AI advisor, supplier verification request, or messaging in the customer portal.
- Portal account audit data — IP address, user-agent, timestamps captured when you sign in, acknowledge a document, or confirm payment terms. We use this strictly as proof-of-action evidence.
- Analytics — anonymous usage statistics via Google Analytics 4 (page views, referrer, country/region). No personally identifiable behavior tracking.
How we use it
- Respond to your sourcing inquiry and prepare a quote or shortlist.
- Operate the customer portal — show your active project, share documents and payment instructions, receive your confirmations.
- Process payments via the bank or online checkout provider you select. We do not store your card numbers; checkout providers (Airwallex, Stripe) handle that directly.
- Send transactional emails (project updates, document notifications, payment receipts). You can request to stop these at any time by emailing [email protected].
- Improve our website and AI advisor with aggregated, anonymized usage analytics.
Cookies
We use cookies for two purposes:
- Essential cookies — a portal session cookie that keeps you logged in, plus a Cloudflare Turnstile cookie that blocks form spam. These cannot be disabled without breaking the portal.
- Analytics cookies — Google Analytics 4. You can decline these via the cookie banner at the bottom of any public page; declining disables analytics for your session.
Sharing
We share information only with parties necessary to fulfill your project:
- Suppliers and factories we propose for your project — we share product specs and contact details after you select a supplier. We do not share your personal contact information without your explicit approval.
- Logistics, inspection, and insurance partners (e.g., freight forwarder, third-party PSI agency) — only the shipment-relevant fields they need.
- Payment and email providers — Airwallex, Stripe, Resend operate as data processors under their own privacy commitments.
- We never sell or rent your information.
Retention
Project records, payment confirmations, signed documents, and audit trails are retained for at least 7 years after project closure to satisfy international trade record-keeping standards. RFQ inquiries that did not convert to projects are retained for 24 months for follow-up, then anonymized.
Your rights
You can request a copy of the data we hold about you, ask us to correct inaccuracies, or request deletion (subject to the retention obligations above). Send the request to [email protected] from the email address on file and we will respond within 30 days.
Security
The portal uses HTTPS everywhere, HttpOnly+Secure session cookies with the __Host- prefix, and a six-digit PIN on top of magic-link email verification. Files are stored encrypted at rest on Cloudflare R2 with time-limited download URLs. We log every administrative access to your project.
